Terminology

 

Hard-drive D:\ = where programs/files are stored = like a filing cabinet

Directory = storage area = like a drawer in a filing cabinet

Subdirectory = like manila folders in a drawer of a filing cabinet

Documents = same thing as files like paper in a manila folder

Store = same thing as save

Retrieve = means open the file (it remains stored on the harddrive) so changes can be made.

Drag and Drop = means you are moving a file from one area on the hard drive (directory) to a different area (directory)

Copy and Paste = means the original file remains in the original location(directory) and you are making and second copy and placing (pasting) it in a new location(directory)

Delete Remove file from harddrive. File goes to Recycle Bin for one last chance to recover when you delete something you should not have.

Cut means deleting from the page you are working on. This is placed in the "clipboard" (memory) for you to "paste" somewhere else.

 


 

Starting programs

Click on Start button at bottom of page. Highlight programs, move across to specific program. Or if it is on the office menu (task) bar click once on the button.

Also check out recently worked on documents by choosing Start - Documents. These are the last ones you have worked on regardless of the program used.

File management

Right click your mouse button on Start. Choose explore. This will start the explorer program which is equivalent to the file manager program of Windows 3.1.

Find file

1. Open explore by right clicking mouse button on Start icon on bottom left of task bar.

2. Find the directory where you think the file might be (ie D). Left click the mouse button on D (which will be highlighted now)

3. On the menu bar choose: TOOLS then chose files/folders. This will bring up a dialog box where if you know part of the name you can enter what you have i.e. a letter saved with smith in the file name smith*.* This will pull up all files with smith in any part of the name.

 

Or

 

*.wpg will find all files with the extension wpg (this is a wordperfect graphic file. Else you can choose advance and type in text which is in your file and choose which harddrive you want to look on.

 

Or

 

If you don’t remember the name!

On the menu bar choose Tools then files/folders pick the advanced tab

1. A new dialog box will show where you can type in a word from the file you are looking for (ie my example is the word insert).

2. At the top of the box you have a choice of the file type you want to look for. If you can’t remember if it was created in word or wordperfect leave the type of file to "all". Then press find now.

3. If you know it was created in word click on the down arrow and move down the list until you find Microsoft Word. Then chose find now. It will find all files containing the word insert (even the ones you didn’t know you had) then chose the correct file.

 

Finding a file with word

1. Using the mouse click the left mouse button on the menu bar on file - open (or the open file icon) find the drive where you think the file is located.

2. At the bottom of the box is a chose of file types use the left mouse button to click on the down arrow and choose all types. This will show every file in the directory.

3. If you do not know the name of the file but you know it contains a specific word then you can click on the "advanced" button, choose under the property category "content"; condition category "includes" and value "specific word" you know is in the file.

4. Click on the "include subfolders(subdirectories).

5. Click (left mouse button) on the add to list button on the right side.

6. Then click on find now. This will conduct a search for you, and list all the files containing that specific word or phrase.

 

Copy Files From One Directory to Another

1. Open explore.

2. Click the left mouse button to chose the drive where the directory is located.

3. Click the left mouse button to highlight the file you want to copy. Right click the mouse and choose copy.

4. Click the right mouse button on the directory where you want to put the file. Then choose paste.

5. This will copy one file at a time.

6. If you have several files in the same directory that you want to copy you can hold the control key down as you select different files, they do not have to be following one another, you can jump around inside the directory.

a. Once all of the files have been selected then on one of the highlighted files click the right mouse button, choose copy.

b. Go to the directory where you want the files to be copied and as above, right click the mouse button and choose paste.

 

DRAGGING - COPYING Files from One Directory To Another

1. Open explore.

2. Chose the drive where the directory is located.

3. Highlight the file(s) you want to copy by holding down the control key while clicking the left mouse button. Keep holding the control key down

4. With the left mouse button held down all of the time, move the mouse to the directory where you want to put the file. All the files will be outline in a hierarchical format and as you move the cursor to the new directory it will become highlighted. Once the directory is highlighted release the left mouse button. The files will be copied.

 

Make sure the control key is held down if it is on the same hardrive (meaning moving from one directory on C to a different directory on C) or the files will be MOVED not copied!!

 

DRAGGING - MOVING Files From One Directory To Another

 

If you are sure you want to MOVE the files (cleaning up messy directories) then.

 

1. Highlight the files by holding the control key and clicking each file with the left mouse button.

2. Choose any one of the highlighted files and with the left mouse button depressed, drag the mouse over the folder of the directory where you want the files to be moved to and release the left mouse button. The files will be moved to the new folder.

3. Check out the move by double clicking on the folder. It will open up and the files should be there.

 

Directory

To open all directories when in explore press the * key on the number pad or above the #8. The cursor will flutter and it may take some time but all the folders will open to show subfolders.

Create

1. Open Explorer (right click on Start - Explore) or on office short cut click on the magnifying glass/folder icon.

2. Chose the drive where you want the new folder (ie D )

3. From the menu bar chose File - New - Folder.

a. This will automatically create a folder which will show on the right panel. It will be highlighted and the name New Folder will show as blue/underlined.

b. Type in the new name for the folder such as "Professor Letters 97", press enter. Then the folder will show on the left panel.

4. To open the folder (although there will be nothing in the folder double click with the left mouse button on the yellow closed folder.

Create sub-folder or sub-directories

1. Choose the directory where you want to create a sub-directory.

2. Click the left mouse button on the yellow folder indicating the directory.

3. From the menu bar chose File - New - Folder.

a. This will automatically create a folder which will show on the right panel. It will be highlighted and the name New Folder will show as blue/underlined.

b. Type in the new name for the folder such as "Professor Letters 97", press enter. Then the folder will show on the left panel.

4. To open the folder (although there will be nothing in the folder double click with the left mouse button on the yellow closed folder.
